FAQ

Cloud vs. Desktop & On-Premise Software

Desktop software runs on a single machine or local server, needs manual backups, and requires VPN for remote access. Our platform runs entirely in the cloud, so your team gets real-time collaboration and access from anywhere, with backups handled automatically.

On-premise means you're stuck managing hardware, patching, and backups yourself, and can't easily scale during busy periods like year-end. Our infrastructure auto-scales with demand and aims to maintain 99.5% uptime, with no IT overhead on your end.

A real-time, multi-tenant database means when one team member updates a journal or reconciles a transaction, everyone else sees it instantly, no file-locking or manual refresh like legacy systems. A separate analytics warehouse handles reporting so heavy reports never slow down daily operations.

Containerized, auto-scaling infrastructure means adding more staff, client entities, or transaction volume doesn't require a hardware upgrade, it scales automatically behind the scenes.

Data is encrypted at rest, access is deny-by-default with role-based permissions on every request, and every change is logged in a full audit trail, versus no access control or change history in shared spreadsheets or email.

Built on enterprise cloud infrastructure with distributed caching and full observability, aiming to maintain 99.5% uptime (excluding scheduled maintenance), unlike a single physical server.

No, it's fully managed. No server maintenance, patching, or backup management required on your end.

Comparison with Other ERP & Accounting Platforms

For a single business, it covers the same ground: full-cycle accounting, payroll, and compliance in one place. Where it goes further is multi-entity practice management: one login lets staff switch seamlessly between client companies, with financial data, permissions, and workflows kept fully isolated per client, something most single-company platforms don't offer natively.

Yes. LHDN MyInvois e-invoicing is natively integrated with sales and purchase journals, not a bolt-on, and payroll includes built-in EPF, SOCSO, EIS, and PCB calculations. Generic international ERPs typically need separate localization add-ons for Malaysian compliance.

Enterprise suites are built and priced for large single companies, with multi-month implementations and dedicated IT/consulting teams. Ours is purpose-built for accounting firms and SMEs, with a modern web interface requiring no formal staff training, and supports multiple client entities from day one.

Many platforms require manual upload or a separate OCR tool. Ours accepts documents however they naturally arrive, direct upload, email, WhatsApp, or auto-sync from a connected Google Drive or OneDrive folder, and AI extracts the key data from bills, receipts, and statements to draft the transaction, linking it to the source document. Built-in duplicate detection (fingerprint matching for bank lines, invoice number and e-invoice UUID checks for bills) flags double-entry before it happens, and every AI-drafted transaction still goes through a human review and approval step before it's posted, we don't auto-post unreviewed data.

Yes, if you're an accounting firm, a single account can switch between client entities with one click, with permissions configurable per client. If you're a single business, this stays simple by default, there's no added complexity from the multi-entity capability.

Data Security, Retention & PDPA Compliance

Data is encrypted at rest by default, and all traffic is protected in transit with enforced HTTPS. Access follows a deny-by-default model with role-based permissions enforced on every request, every creation and update is logged in a full audit trail, and SMS-based multi-factor authentication is available on user accounts.

Retention is configurable by your firm admin per data type, from 1 month up to 8 years, with select master data (chart of accounts, contacts, shareholders, and similar records) able to be retained indefinitely. Audit logs are never deleted, regardless of settings. Expired data is permanently removed on a scheduled basis, not just hidden or archived.

Our Privacy Policy and Data Processing Agreement are built around Malaysia's Personal Data Protection Act 2010 (PDPA), covering data user/processor roles, cross-border transfer disclosure, sub-processor authorization, and breach notification obligations. Full details are available in our Privacy Policy and DPA.

Our infrastructure runs on Google Cloud, which can involve cross-border data transfer as part of normal cloud operations. This is disclosed in our Data Processing Agreement, along with the safeguards in place.

Data handling at contract end, including deletion or return of your data, is set out in our Data Processing Agreement.

Data subject requests are handled directly per the process outlined in our Privacy Policy.

Migration & Onboarding

A guided setup wizard for firm owners and managers covers contact details, currency and fiscal year configuration, and user and service assignment.

Yes, via chart of accounts import with AI-assisted account mapping, followed by parallel migration of accounts receivable, accounts payable, and bank transaction history, finishing with opening balance finalization, all via CSV/Excel import with a preview step before anything is committed. Accounting firms migrate their clients' data themselves using these built-in tools. For SMEs, this is also available as a supported migration service.

Accounting firms self-serve using the built-in import tools at no separate fee. For SMEs, migration is offered as a one-time, quote-based service that depends on the complexity and readiness of your existing data, reach out and we'll scope it for your setup.

The same CSV/Excel import tooling also covers contacts, inventory items, and fixed assets (PPE).

Each import shows a preview of valid and flagged rows before you confirm, so errors can be caught before anything is committed to your records.

Support & Uptime

WhatsApp support is available, with priority access tiered by plan.

We aim to maintain 99.5% uptime (excluding scheduled maintenance), as stated in our Terms of Service. This isn't a guarantee of uninterrupted or error-free operation.

Pricing & Billing

Plans combine an annual (or monthly) subscription fee with per-entity module fees, for example accounting, expense claims, or an all-in bundle, billed on top. Migration support for SMEs is quoted separately.

Yes, billing is available monthly or annually, as selected at the time of purchase, charged in advance in MYR, exclusive of SST.

Sign-up is currently invite-only: accounts are created with a referral code rather than through a self-serve checkout. Reach out and we'll get you set up.

A free trial may be offered at our discretion, typically a few days, set up by our team rather than self-serve. No payment is required during the trial, and converting to a paid plan is a one-way step.

There's a 7-day grace period to update your payment method before suspension. You can cancel anytime, effective at the end of your current billing period; we don't offer partial refunds for unused time. Downgrading disables higher-tier features, with your data retained but inaccessible until you upgrade again.

Each client entity gets a complimentary monthly budget of 1 million AI tokens included by default. Once that’s used, firms can bring their own Gemini API key in AI Settings to continue using AI features on their own capacity.

Integrations & Connectors

Gmail is fully supported for both sending and receiving. Outlook/Microsoft 365 currently supports receiving only, sending via Outlook isn't available yet, Gmail is the recommended provider for outbound email.

Yes, bidirectional sync with both Google Calendar and Microsoft Calendar: create, update, and delete events directly, with real-time push notifications for changes.

Gmail, Outlook (receiving), Google Drive, OneDrive, and calendar connectors are self-service via OAuth, just click "Connect." WhatsApp requires a bit more setup: you'll need your WhatsApp Business API credentials from Meta Business Suite.

Not yet, bank reconciliation currently works via CSV/OFX statement import rather than a live feed.

Not currently.

Not at this time. Our connectors integrate with third-party services on your behalf, but there's no published API for external developers yet.

E-Invoicing & LHDN Compliance

Once enabled for a client, invoices are automatically submitted to LHDN's MyInvois system when published, with status tracked and synced back onto the invoice. It's opt-in per client rather than switched on for every journal by default.

Sales e-invoices, self-billed purchase e-invoices, consolidated e-invoices (including consolidated self-billed), and credit, debit, and refund notes.

Status is checked automatically starting seconds after submission, and the invoice updates as soon as LHDN responds. LHDN's own validation SLA allows up to 72 hours, but most invoices are validated much faster in practice.

Yes, once LHDN validates a submission, a QR code linking to the official validation record is generated and embedded on the invoice.

Yes, you'll enter your Client ID and Secret from the LHDN MyInvois portal into your platform settings. Both sandbox and production environments are supported for testing before going live.
